Teacher Records

The Ministry of Education maintains confidential academic and professional records of all teachers in the province. In accordance with the Freedom of Information and Protection of Privacy Act, this information is collected by the Department for the following purposes:

  • To determine if an applicant is eligible for a Saskatchewan teacher’s certificate and for the purpose of assisting any other jurisdiction in Canada in determining an applicant’s eligibility for a teacher’s certificate in such other jurisdiction.
  • To provide information and assistance to teachers and school divisions concerning teacher certification and classification.
  • To enable the Department to provide a statistical profile of the Saskatchewan teaching force as required by law to the Government of Canada.
  • To maintain accurate and up to date teacher certification and classification records.
  • To provide the Department with a statistical profile of the Saskatchewan teaching force for the purpose of research and analysis.

Boards of Education maintain a confidential personnel file on each teacher in their employ. They must retain any medical information in a separate file accessible only to the teacher and the official designated by the Board of Education. Article 7.4.4 of the Provincial Collective Bargaining Agreement specifies the conditions attached to the collection of personal medical information.

Article Ten of the Provincial Collective Bargaining Agreement sets out the conditions of access to personnel files held by the Ministry of Education and personnel and medical files held by a board of education.

Boards of Education may retain records related to former employees.
